This Privacy Policy explains how ilumWeave ("we," "us," or "our") collects, uses, and shares information when you use the ilumWeave platform and related property lead outlet websites (collectively, the "Service"). We are committed to handling your information with transparency and integrity — we do not sell seller contact lists, and we strive to be clear about who accesses your data and why.

1. Scope

This policy applies to:

  • Visitors who browse our public websites.
  • Individuals who submit property leads or inquiries.
  • Registered users, including team members and approved Connectors.

It does not apply to third-party websites or services that we do not control.

2. Information we collect

Information you provide

  • Lead forms: name, email, phone, property details, notes, and other fields you choose to submit. We may save partial form entries as you type to reduce data loss and mitigate automated abuse before you complete submission.
  • Account registration: name, email, password (stored in hashed form), and optional referral or invite codes.
  • Connector applications: profile links, notes, and related vetting information.
  • Billing and support: plan selections, payment-related correspondence, and messages you send us.
  • Admin and team activity: connection records, lead notes, assignments, and configuration you enter while using the Service.

Information from sign-in providers

If you register or log in with Google, X, LinkedIn, or another supported provider, we receive information that provider shares with us, typically including:

  • Provider account identifier
  • Name
  • Email address (when provided by the provider)

We use this information to create or link your account. We do not receive your password for those providers.

Information collected automatically

  • Usage and device data: pages viewed, actions taken, timestamps, browser type, IP address, and similar technical logs used for security, debugging, and analytics.
  • Cookies and similar technologies: session cookies required to keep you signed in and preferences such as theme selection. We may use analytics tags when configured for a site.

3. How we use information

We use information to:

  • Operate, maintain, and improve the Service.
  • Receive, route, and manage property leads and follow-up workflows.
  • Create and secure user accounts, including OAuth account linking.
  • Process billing, credits, and plan access.
  • Send transactional email (confirmations, notifications, connector invites, and account-related messages).
  • Review Connector applications and administer roles.
  • Detect, prevent, and respond to fraud, abuse, and security incidents.
  • Comply with law and enforce our Terms of Service.

We may use aggregated or de-identified data for reporting and product improvement.

3.1 Public information and community privacy

Public realm data. When we verify submissions, we may consult public property records, county assessor databases, publicly posted listings, and other sources that are in the public realm and openly available online. That information is not private in the sense that it is hidden from the public — anyone may find it through ordinary public search. We use it only for legitimacy verification and due diligence, not to build marketing lists or sell data.

Within the ilumWeave community. We respect the privacy of users, leads, and connections. Information you submit and verification results we produce are kept private within the ilumWeave community — visible to authorized staff, assigned team members, and approved Connectors according to role. We do not sell personal information.

Ongoing verification consent. By using the Service, you consent to reasonable verification searches so we can confirm you are real and your property and claims are legitimate. This due diligence may continue for as long as your submission or account remains active in the Service. See our Terms of Service §4.1 for details.

4. How we share information

We do not sell your personal information.

We may share information:

  • Within your organization: with admins, assigned team members, and approved Connectors who need access to perform their role in the Service.
  • With service providers: vendors that help us host, email, authenticate, bill, or analyze the Service (for example, hosting, Resend, OAuth providers, payment processors, and analytics tools). They process data on our instructions.
  • For legal reasons: when required by law, court order, or to protect rights, safety, and security.
  • In a business transfer: in connection with a merger, acquisition, or asset sale, subject to appropriate protections.

Lead information may be shared with the team members or partners responsible for responding to that inquiry.

5. Social login

When you use Google, X, or LinkedIn to sign in, authentication is handled by that provider. We store the provider identifier and email (when available) to recognize your account on return visits.

You can review each provider's privacy policy for details on how they handle your data. You may also register with email and password instead, where available.

6. Email and communications

We send emails related to leads, account activity, connector invites, billing, and platform notices. Lead notification settings and opt-out links may be provided where applicable.

7. Data retention

We retain information for as long as needed to operate the Service, meet legal obligations, resolve disputes, and enforce agreements. Retention periods may vary by data type and business need.

You may request account deletion where the Service provides that option. Some records may be retained in backups or as required by law.

8. Security

We use administrative, technical, and organizational measures designed to protect information, including access controls and encrypted transport where appropriate. No method of transmission or storage is completely secure.

9. Your choices

Depending on your relationship with the Service, you may:

  • Update profile information in your account settings.
  • Choose email/password registration instead of social login.
  • Contact us regarding access, correction, or deletion requests.
  • Use lead email preference or opt-out links when provided.

We may need to verify your identity before fulfilling certain requests.

10. Children's privacy

The Service is not directed to children under 18, and we do not knowingly collect personal information from children. If you believe a child has provided information, contact us so we can take appropriate steps.

11. International users

The Service is operated from the United States. If you access the Service from other regions, your information may be processed in the United States or where our providers operate, which may have different data protection laws than your jurisdiction.

12. Changes to this policy

We may update this Privacy Policy from time to time. We will revise the "Last updated" date above and, for material changes, provide additional notice in the Service where appropriate.
